2019 Forum Sponsor Exhibitor Instructions

Exhibitor Booth details: If you need to update your name for the Exhibitor booth space or change table selections, please contact info@nationaladaptationforum.org to make those changes before 5:00 p.m. PT on Friday, April 5th.  No updates will be accepted after Friday, April 5th. Updates received after that date will still be accepted for the online program but will not be listed in the printed program.

Booth Location: Please review the attached Exhibitor Floor Plan to see your position and your specific booth number. If you want to upgrade your booth prior to the Forum, please contact us at info@nationaladaptationforum.org no later than Friday, April 5th. 

Booth Amenities: All exhibit booths come with 8’ high background drape and 3’ high side drape, one (1) 4’ x 30” draped table or one (1) 6’ x 30’ draped table, two (2) chairs, one (1) wastebasket and one (1) ID sign and access to an electrical outlet. 

Booth Set-up: Tuesday, April 23, 2019 from 6:30am- 10:00am will be available for booth set-up. You will NOT be able to set booths up on Monday April 22, 2019. 

Booth Take-down: Thursday April 25th at 5:30 p.m. The National Adaptation Forum adjourns. Between 5:30 p.m. and 6:30 p.m. all booth materials and signage must be removed from the concourse. Any items remaining after 6:30 p.m. will be recycled or otherwise disposed of.

Exhibit Schedule: The Exhibit hall will be open to participants throughout the Forum, however the optimal times to provide staff at your exhibit include: Tuesday - Thursday during breakfast, morning and afternoon breaks, and the Tuesday Evening Networking Poster and Tools Cafe’ Session.

Shipping: If you choose to send your poster or any other materials to the Madison Concourse, use the following information on your shipping label. Please note, to avoid any holding charges, items shipped can not arrive directly at the Monona Terrace, except between the times of 6:30am- 10:00am on Tuesday, April 23rd, 2019.

Arriving on April 23 between 6am- 11am (no fee).

You may also ship your poster or any materials you will be using for your presentation to the hotel where you will be staying. Check with the hotel to verify if there will be any holding costs associated with storing your poster(s) or materials. Any charges associated with storing or holding participant posters or presentation materials is the responsibility of the participant.
